    Building Custom GoHighLevel Reporting Dashboards

GoHighLevel's built-in reports cover the basics, but many agencies and businesses need views it does not provide — revenue across every sub-account, pipeline velocity by rep, or a client-facing scorecard in their own brand. A custom dashboard fills that gap.

    Start from decisions, not data

List the decisions the dashboard should support — which campaigns to scale, which reps need coaching, which clients are at risk — and pick the few metrics that inform each one. A focused dashboard gets used; a wall of charts gets ignored.

Pull data on a schedule and store snapshots

Rather than calling the GoHighLevel API every time someone opens the dashboard, sync the data you need on a schedule and store it in your own database. Pages load instantly, you stay well inside rate limits, and you can report on history that the live API does not keep in the shape you need.

Combine scheduled syncs with webhooks for the records that change often, such as opportunities and appointments, so key numbers stay current between syncs.

    Model metrics once

Define each metric — what counts as a won deal, how response time is measured, which pipeline stages count as qualified — in one place in your backend. Every chart then reads from the same definitions, and numbers match no matter which view someone opens.

    Plan for agencies and clients

Agency dashboards need rollups across sub-accounts and strict separation so each client sees only their own data. Decide early whether clients log in, receive scheduled reports, or both, and build permissions around that.

    Keep credentials on the server

Dashboards should never call the GoHighLevel API from the browser. Keep tokens in server-side configuration, request only the scopes you need, and alert when a token stops working so a revoked connection does not quietly freeze your reports.
